Preparation description report

The preparation description report is a printable document for kitchen staff that describes exactly how each meal should be prepared — which recipes are used, what the ingredients are, and step-by-step instructions.

It is designed for the kitchen wall or workstation: staff can read the preparation steps without needing to open the system.

What the report includes

For each meal prepared that day:

  • Meal name and category
  • Serving time and number of portions to prepare
  • Recipe ingredients with exact quantities (scaled to the number of portions needed)
  • Step-by-step preparation instructions
  • Allergen information highlighted clearly
  • Portion size and plating notes (if entered in the recipe)

Generating the report

Go to Reports → Preparation description.

  1. Select the date you are preparing for
  2. Select the catering service if you have more than one kitchen
  3. Click Generate

The report creates a printable page for each meal on that day's menu.

Printing the report

Click Print to send the report to your printer. The layout is designed to be readable at arm's length on a kitchen workstation.

Alternatively, click Download as PDF to save the file and open it on a tablet or display screen in the kitchen.

What each section means

Ingredients table: Shows every ingredient with the exact quantity needed for the number of portions planned. For example, if 50 portions of chicken stew are planned and the recipe uses 200g of chicken per portion, the table shows 10 kg.

Instructions: Step-by-step cooking instructions copied from the recipe. Each step is numbered for clarity.

Allergen summary: A clear list of all allergens present in the dish. This should be checked before serving, especially for customers with dietary needs.

Who uses this report?

Kitchen cooks and prep staff who need clear, printed instructions at their workstation. It is especially useful when:

  • Temporary or new staff are working
  • A dish is being prepared for the first time
  • Complex recipes require exact steps to be followed
  • You need a printed record that the recipe was followed correctly

Keeping preparation descriptions up to date

The information in this report comes directly from the Recipes section. If the instructions or ingredient quantities in a recipe are incorrect, the preparation description will be incorrect too.

If you notice a mistake in the instructions printed on the preparation description, go to Menu planning → Recipes, find the recipe, and correct the preparation steps there. The next time the report is generated, the corrected instructions will appear.
