Deliveries

The deliveries section helps you organise and track the physical delivery of meals to customers. You can create delivery routes for drivers, assign stops along the way, and follow their progress in real time on a map.

Delivery trips

A delivery trip is a single route on a single day — one driver, one vehicle, one set of stops to visit. Each stop on the trip is called a delivery point and corresponds to a customer or order unit that needs to receive meals.

Creating a delivery trip

Go to Deliveries in the main menu and click + Create trip.

  1. Choose the date of the delivery
  2. Assign a driver from the list of registered drivers
  3. Optionally assign a vehicle (if you track vehicles)
  4. Add delivery points — click + Add stop and search for customers or order units
  5. Arrange the stops in the order the driver should visit them (drag to reorder)
  6. Click Save

The system shows an estimated distance and time for the complete route once stops are added.

Filling stops from orders

Instead of adding stops manually, you can fill them automatically from confirmed orders for that day:

  1. Click Fill from orders
  2. The system adds all customers who have an order for that day as delivery points
  3. Review and reorder the stops as needed

This saves time and ensures no delivery is missed.

Tracking a delivery in progress

Once a driver starts the trip, you can follow their location on the map in real time. Each stop shows its current status:

FailedDelivery could not be completed (customer absent, etc.)

Click on any stop on the map to see details — customer name, address, and the meals being delivered.

Updating a stop's status

If you are managing deliveries from the office, you can manually update the status of any stop:

  1. Open the delivery trip
  2. Click on a delivery point
  3. Change its status
  4. Click Save

Drivers using the mobile app can update their own status as they go.

Recording notes on a delivery

At each stop you can record:

  • Notes — anything the driver needs to remember (e.g. "Ring the doorbell twice")
  • Issues — problems encountered (e.g. "Customer refused delivery", "Address incorrect")

Notes and issues are stored with the delivery record for future reference.

Delivery time windows

You can define standard time windows for your deliveries — for example "Lunch: 11:00–12:00". These are set under Administration → Delivery settings and can be assigned as the default for new delivery trips.

If a delivery runs late and goes outside its time window, the system highlights this in the trip overview.

Dividing a trip between drivers

If a trip has too many stops for one driver, you can split it:

  1. Open the trip
  2. Click Divide trip
  3. Select which stops go to which driver
  4. Each driver gets their own trip

SMS notifications

The system can automatically send an SMS to customers when the driver is approaching their stop. See the SMS notifications page for details on how to set this up.

Trip history

All completed trips are saved in the delivery history. You can:

  • View the route that was actually driven
  • See timestamps for each stop (when the driver arrived and left)
  • Review any notes or issues recorded
  • Export a summary as a PDF

This history is useful for billing, customer disputes, and reviewing delivery performance.
